This policy explains what personal data this website collects, why, who handles it for us, how long we keep it and what your rights are. It covers the website at neoserve.net only. Personal data we handle for clients under an engagement letter is covered by that engagement, not by this page.

What we collect
Contact forms. When you use a contact form on this site we receive the name, email address, phone number (optional) and message you type in. Nothing else is collected through the forms.
No cookies, no analytics. This site sets no cookies, runs no analytics or advertising tools and does not track you across pages or sites.
Google Maps. The map on the Contact Us page is not loaded until you click “Show map”. Only then does your browser connect to Google, which receives your IP address and may set its own cookies. If you never click it, Google receives nothing from this site.
Technical data. Like any website, the servers that deliver these pages see your IP address, browser type and the page requested. This is used only to deliver the site and protect it from attacks.
Why we use it and our legal basis
- Answering your enquiry, including preparing a quote or proposal: steps taken at your request before entering into a contract (GDPR Article 6(1)(b)), or, where you are not asking about our services, our legitimate interest in replying to messages sent to us (Article 6(1)(f)).
- Delivering and securing the website: our legitimate interest in running a site that is available and protected from abuse (Article 6(1)(f)).
We do not use your data for marketing, we do not sell it and we do not make automated decisions about you.
Who handles it for us
We use the following service providers (processors). Each processes data only on our instructions.
- Web3Forms — receives what you submit in a contact form and forwards it by email to our mailbox. Its servers may be outside the European Economic Area.
- Microsoft 365 (Microsoft Ireland Operations Ltd) — hosts our info@neoserve.net mailbox, where enquiries are stored. Data is held within the EU under Microsoft's EU Data Boundary.
- Cloudflare (Cloudflare, Inc., USA) — hosts and delivers this website through its global network and protects it from attacks. It processes technical data such as IP addresses.
- Google Maps (Google Ireland Ltd) — only if you click “Show map”, as described above. Google acts as an independent controller for that data; see Google's privacy policy.
Where a provider processes data outside the European Economic Area, the transfer is covered by the EU–US Data Privacy Framework or by the European Commission's Standard Contractual Clauses.
How long we keep it
- Enquiries (in our mailbox and in the Web3Forms account) are kept for 24 months from our last exchange with you, then deleted. If your enquiry leads to an engagement, the correspondence becomes part of the client file and is kept for as long as the law requires us to keep client records.
- Technical logs held by Cloudflare are kept for no more than a few days, except where needed to investigate an attack.
Your rights
Under the GDPR (Articles 15 to 22) you have the right to:
- access the personal data we hold about you and get a copy of it;
- have inaccurate data corrected;
- have your data erased;
- restrict how we use it;
- receive it in a portable format (data portability);
- object to our use of it where we rely on legitimate interest;
- not be subject to a decision based solely on automated processing (we make none).
To use any of these rights, email info@neoserve.net. We may ask you to confirm your identity, and we will reply within one month.
If you are unhappy with how we handle your data, you can complain to the Commissioner for Personal Data Protection in Cyprus: 1 Iasonos Street, 1082 Nicosia · www.dataprotection.gov.cy · commissioner@dataprotection.gov.cy. You can also complain to the authority in the EU country where you live or work.
Security
The site is served only over HTTPS, and form submissions are sent encrypted directly from your browser to Web3Forms. Access to our mailbox is limited to our staff.
Children
This site is not aimed at children, and we do not knowingly collect data from anyone under 14.
Links to other websites
This site links to other websites, such as government services and our social media pages. Their own privacy policies apply once you leave this site.
Changes to this policy
If we change how we handle personal data we will update this page and the “Last updated” date at the top.
